This position is responsible for reviewing all incoming and outgoing transcripts and making
determinations based on data and individual student needs for degree completion and transfer of
credit. Responsible for maintaining accurate student records, data entry, program and course credit
hour changes, and student enrollment records.

Minimum Qualifications

  • Bachelor’s Degree
  • Master’s Degree is preferred
  • Employment dependent upon passing pre-employment background screening

  • Knowledge and understanding of student admissions and transfer policies, processes,
    and regulations.
  • Ability to work with data utilizing complex software systems
  • Ability to accurately report data to internal and external constituents
  • Knowledge in building database reports

  • Excellent communication, organization and conflict management skills
  • Ability to review transcripts, analyze and make accurate student recommendations
  • Proficiency in computer operations systems, database software including Microsoft Office Suite
  • Ability to work independently as well as in a team environment
  • Ability to maintain confidentiality and professionalism at all times
  • Knowledge of the rules, regulations, and laws regarding student records

  • While performing the duties of this job, the employee is regularly required to stand, sit;
    talk, hear, and operate a computer.
  • Occasionally lifts and carries items weighing up to 50 pounds

Essential Job Functions

  • Regular attendance and punctuality
  • Develop procedures for student registration and ensure procedures are followed
  • Attend and participate in Academic Affairs Meetings, ensure approved course/program
    changes/additions are processed through all systems
  • Process, manage, and maintain confidentiality of student academic records, such as:
    • Grade Entry/ Grade Changes
    • Add/Drops/Withdrawals
    • Name Changes
    • Address Updates
  • Work with staff in developing student’s cumulative academic record
  • Process and handle all requests for grades and permanent records
  • Prepare honor roll
  • Responsible for collection and submitting required Kansas Board of Regents and federal reports.
  • Create reports to extract necessary data to complete internal reports for administration, staff and faculty.
  • Coordinate with Dean of Instruction on course offerings for any given semester
  • Verify/Enrollment Verification/Certifications as needed
  • Maintains internship records
  • Facilitate the submission of grades
  • Work with the instructional team to determine educational course requirements for graduation in each degree program
  • Oversee and organize commencement exercises
  • Ensure all coursework, credit requirements, and student account holds are satisfied prior to release of transcript or diploma
  • Request, collect, and interpret transcript data for all students, including transfer students
  • Communicate with internal, external stakeholders, and customers concerning but not limited to college policies, procedures, graduation requirements, course costs, and other relevant course information
  • Maintain and collect FERPA confidentiality forms from all students, train faculty and staff yearly on FERPA compliance. Oversees the release of student directory and non-directory information.
  • Attend yearly conferences, webinars, and training to stay current on registrar duties (KBOR,KACRAO, Clearinghouse, etc.)
  • Obtaining, recording and filing information regarding special programs to include, but not limited to:
    • Veterans
    • Vocational Rehabilitation
    • Verification of enrollment for special state federal programs, such as SEVIS
  • Work closely with faculty, administration, and staff; attend meetings and serve on committees
  • Review relevant areas of the website and recommend changes to your supervisor
  • Support the vision, mission, and policies of North Central Kansas Technical College
  • Other duties as assigned by the Vice President of Student & Instructional Services or the President
